Terms and conditions

Booking terms, in plain English

Everything you need to know about deposits, payments, changes and cancellations before you travel with us.

Last updated 20 October 2026Applies to all bookings with FBA Tours & Travel Ltd

The short version

  • A 25% deposit confirms your safari. The balance is due 60 days before departure.
  • Flights are paid in full when the ticket is issued and follow the airline's rules.
  • Cancellation fees start at US$500 and rise as departure gets closer.
  • Need to move your dates? Your payments become a credit that never expires.
  • We strongly recommend travel insurance, including trip cancellation cover.

Booking and payment

Your booking is confirmed once we receive your deposit. Any payment you make to us means you accept these terms, together with the pre-departure documents and passenger information form we send you.

ServiceWhat you pay
Safaris and toursA 25% deposit when you book. The balance is due 60 days before your departure date.
Flights100% when the ticket is issued. Refunds, changes and fees follow the airline's own rules (its terms of carriage).

We accept bank transfers, cheques and major credit cards. Please allow extra time for cheques to clear. We cannot be responsible for delays or cancellations caused by errors in processing a payment.

Prices

Our prices include planning, handling and operating costs. They are based on the exchange rates, tariffs and taxes in force when the price was published or quoted.

We may need to increase a price to cover higher costs, tariffs or taxes introduced after publication, or changes in foreign exchange rates. We are not obliged to give a breakdown of the costs in a tour. If a tour is changed to suit a smaller group, the price may change too.

If you cancel

We understand that plans change. If you need to cancel, please tell us in writing as early as possible. The fee depends on how close to departure we receive your cancellation:

When we receive your cancellationCancellation fee
60 days or more before departureUS$500 per booking
59 to 30 days before departure25% of the total tour price
29 to 15 days before departure50% of the total tour price
14 to 7 days before departure75% of the total tour price
Less than 7 days before departure100% of the total tour price

Flights follow the airline's terms of carriage. Unless the airline allows otherwise, flights cancelled or unused after the ticket is issued are charged in full.

Cancellations because of illness, including Covid-19, or a change in travel conditions at your destination follow the same terms. Most comprehensive travel insurance policies cover these situations, which is why we strongly recommend trip cancellation insurance.

If you change your dates

If you need to reschedule, we will keep 100% of what you have paid as a credit towards a future trip with us. The credit does not expire. Any change fees charged by our suppliers, such as lodges or airlines, are deducted from it.

Changes made within 60 days of departure are treated as a cancellation under the table above. Changes to domestic or international flights follow the airline's policy.

Itineraries and our right to make changes

We work hard to run every trip as planned. Sometimes accommodation (a hotel, lodge or vessel) or planned sightseeing has to change because of circumstances beyond our control, even after your final itinerary has been issued.

We may withdraw a tour or part of it, or change the itinerary or inclusions where we believe it is necessary. If delays or events beyond our control cause extra costs, these may be passed on to travellers.

Special requests

Please tell us about special requests when you book, for example connecting rooms, bed types, smoking or non-smoking rooms and dietary needs. We will do our best to arrange them, but we cannot guarantee them.

Health, fitness and active trips

Some trips include active elements such as hiking, walking safaris, horse riding, high-altitude trekking, rafting and off-road driving on rough terrain. You will need a level of fitness similar to regular exercise such as brisk walking, jogging or tennis.

Please tell us before you book about any physical or other condition that could put you or other travellers at risk. By booking, you confirm that no one in your party has such a condition that you have not told us about. We may decline a booking where the fitness level for a trip is not met, and we may remove someone from a trip, at their own cost, if their condition puts them or others at risk or seriously affects the trip for other travellers.

Children

Unless a tour page says otherwise, there is no minimum age. Some activities within a tour may have their own age limits, and we will tell you about these when you book.

Baggage

Tour prices include handling of two pieces of luggage per person. Some internal and light-aircraft flights have stricter weight limits; we will send the details with your travel documents. Your luggage and personal belongings remain your responsibility throughout the trip. Please check your airline's rules for international flights.

Travel insurance

We strongly recommend comprehensive travel insurance that covers:

  • Emergency evacuation
  • Medical expenses
  • Accidental death and disability
  • Loss of personal belongings
  • Repatriation, delays and other costs caused by loss, damage, injury or disruption

To be protected against losing money if you cannot travel for any reason, you must buy trip cancellation insurance at or before the time you book.

Passports, visas and vaccinations

You are responsible for checking and meeting the entry requirements of every country you visit, including passports, visas, permits, health certificates, vaccinations and, where needed, an international driving licence. You are also responsible for checking safety and security conditions at your destinations.

If you do not meet these requirements, any extra costs to you or to us are your responsibility. We are happy to share advice on visas, vaccinations, climate, clothing and luggage, but we give it in good faith and cannot be responsible for errors or omissions.

For safari destinations, please speak to your doctor about anti-malaria precautions before you travel, and bring your own insect repellent, as it may not be available at camps.

Photographs

We sometimes take photographs during our trips and may use them to promote our services. If you would prefer not to appear in them, please tell your guide at the start of your trip.

Claims and refunds

We do not give refunds for services you choose not to use, unless there are verifiable extenuating circumstances. Any claim must reach us in writing within 30 days of the end of your trip, with supporting documents or a statement from the operating supplier.

Any adjustment is based on the actual price of the service involved, not a daily rate. We cannot make adjustments for unused sightseeing or meals, and we cannot accept claims received more than 30 days after the end of your trip.

Our responsibility

We own our safari vehicles and employ our own staff. For other parts of your trip, such as flights, trains, boats, hotels, lodges and restaurants, we book services from independent suppliers. They are independent contractors, and we are not liable for their negligent or wilful acts or those of any third party.

We are not responsible for injury, loss, death, inconvenience, delay or damage to property caused by events such as natural disasters, illness, war, civil unrest, strikes, crime or terrorism, animals, overbooking or downgrading by suppliers, food poisoning, or the failure or delay of any aircraft or other transport.

Adventure travel carries risks, including those of rafting and kayaking, horse riding, hiking and walking safaris, wild animals, and limited access to medical care and evacuation in remote areas. By booking, you accept these risks.

Events beyond our control (force majeure)

Force majeure means circumstances beyond our reasonable control, such as natural disasters, explosions, floods, storms, fire, accidents, war or the threat of war, sabotage, civil unrest, illness, quarantine, government action or weather.

If force majeure affects your trip, we will tell you as soon as possible. We will not be in breach of these terms for any resulting delay or failure to perform, and we may change or cancel the itinerary. Because we usually pay suppliers large, non-refundable amounts well in advance, any refund will be less non-refundable deposits, supplier cancellation fees and our reasonable costs caused by the event.

Disputes

If something goes wrong, please tell us straight away so we can try to put it right. Any dispute or claim relating to these terms, our brochures, your trip or any related service that we cannot resolve together will be settled by binding arbitration in Nairobi, Kenya.

Changes to these terms

We may update these terms from time to time and will publish the latest version on this page at fbatourstravel.com. Changes take effect 10 days after they are published. You can also ask your travel consultant for the current terms by email, with the subject line "Request for current terms and conditions of booking". Please read the latest version before you travel.
